Microsoft 365 for small businesses: choosing the right solution

Business Basic, Standard or Premium: compare apps, Teams, security and device management before choosing licences.

Start with how your employees work

The right Microsoft 365 subscription depends on how you work: browser or installed apps, business email, file sharing, meetings and device management. One licence type for everyone may not fit. Define usage profiles and required security controls before comparing plans.

Business offerings are intended for organizations with up to 300 users under Microsoft’s terms. Above that scale, review Enterprise options and applicable licensing rules. Prices, billing terms and packaging can change; check Microsoft’s official Canadian comparison before buying. This guide is not a SolutionsCW price list.

Business Basic: work primarily online

Business Basic offers web and mobile productivity apps, business email, and the storage and collaboration services listed in the plan. It does not include installed desktop Office apps in the way Business Standard does. Review users’ actual needs before replacing existing licences.

This can suit someone working mainly in a browser. If you depend on advanced document features, offline files or installed software, test that workflow. Compatibility with files and processes should take priority over price alone.

Business Standard: add desktop applications

Business Standard adds desktop apps to the productivity-service foundation. This matters for employees using installed Word, Excel or Outlook daily. Check compatible systems, permitted devices and usage conditions in Microsoft documentation.

Buying the plan does not automatically organize documents. Define shared spaces, file ownership, access rules and collaboration practices. A migration should avoid merely moving a disorganized filing system into a new service.

Business Premium: security and device management

Business Premium combines Standard-style productivity with additional security and device-management capabilities. The official comparison describes identity, device and data protections. Verify the exact features and licensing requirements for your scenario rather than assuming all protections are already active.

These tools must be configured, monitored and documented. A Premium licence is not a Law 25 compliance certification and does not remove the need for access policies, training, patches and an appropriate backup and recovery strategy.

With or without Teams: check the exact variant

Microsoft offers variants with and without Teams. Do not assume every Basic, Standard or Premium licence includes the same meeting application. Compare the full product name and inclusions; if Teams is needed, confirm how it will be obtained and billed in your chosen setup.

Also distinguish included features from those requiring another subscription or add-on. An AI or telephony capability shown elsewhere in Microsoft’s ecosystem should not be treated as included without checking the plan terms.

Before purchase or migration: a practical checklist

SolutionsCW can help compare usage, prepare migration and organize email, access and files. Implementation should cover testing, continuity and administrative responsibility. Do not disable old services before validating data transfer and account operation.

  • Inventory users, existing licences, shared mailboxes and devices.
  • Confirm needs for installed apps, Teams and external sharing.
  • Plan multifactor authentication, administrative access and onboarding/offboarding procedures.
  • Verify terms, billing, renewals and add-on features with Microsoft.
  • Document data locations, backups and a restoration scenario.
