Work meeting illustrating the choice of an IT partner

Choosing an IT provider means choosing a level of dependency

Your IT provider will hold the keys to your email, files, access and sometimes your domain name. A good partner makes you autonomous; a bad one makes you captive. The criteria below apply to evaluating any provider — including SolutionsCW.

The eight questions to ask before signing

These questions apply to any provider, on a plan or on demand. The answers should be clear, in writing and straightforward.

  • Who owns the domain name, administrator accounts and data? (The only right answer: you.)
  • What exactly does the plan cover, and what is billed extra? Ask for concrete examples.
  • What documentation do we receive: master passwords, network diagram, licence inventory?
  • How are emergencies handled, through which channels, with what written commitments?
  • Who actually does the work: an identified team or an anonymous call centre?
  • How does the contract end: handover of access, data export, timeline?
  • How is security managed: MFA, patches, backups, and who verifies?
  • Can we speak with current clients in a comparable sector?

Red flags

Be wary of a provider who refuses to hand over administrator access, registers your domain in their own name, documents nothing, or whose pricing cannot be explained. Also beware of absolute promises — “you will never be hacked”, “guaranteed first position on Google”: no serious professional can keep them.

Building a healthy relationship

The best provider relationship is one where you understand what you pay for and could switch partners without catastrophe. At SolutionsCW, documentation is handed to the client, access stays in your name, and quote requests receive an initial reply within 48 hours. That is the standard we invite you to demand from everyone.
